These Terms of Service (“Terms”) set out the contractual relationship between Aspen Med Ltd (“Aspen Med”, “we”, “us”, “our”) and patients (“you”, “your”) who use Aspen Med’s services, website, and patient portal.

By booking an appointment, using our services, or accessing the Aspen Med Patient Portal, you agree to be bound by these Terms.


1. Nature of Aspen Med Services

Aspen Med operates as a medical services platform and coordination provider, offering access to specialist medical care, multidisciplinary services, and related administrative support.

Clinical services may be provided:

  • By clinicians engaged directly by Aspen Med, or
  • By independent healthcare professionals practising in association with Aspen Med, and/or
  • At external clinics or hospitals where Aspen Med clinicians hold practising privileges

The specific arrangements applicable to your care will depend on the service booked and the location at which care is delivered.


2. Independent Clinician Status and Professional Responsibility

Where clinical services are provided by independent healthcare professionals, the following applies:

  • Each clinician is an independent practitioner and is not an employee of Aspen Med unless expressly stated otherwise.
  • Each clinician is responsible for their own clinical judgement, diagnosis, treatment decisions, and professional conduct.
  • Each clinician is required to hold and maintain appropriate professional registration and medical indemnity insurance covering the services they provide.

Aspen Med does not replace or diminish the professional accountability of individual clinicians and does not act as an insurer or guarantor of clinical outcomes.

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, or any liability that cannot lawfully be excluded.


3. Care Delivered at Clinics or Hospitals

Where your consultation, investigation, or treatment takes place at a clinic or hospital, that organisation:

  • Provides the premises, facilities, and local clinical governance framework
  • Grants practising privileges to clinicians
  • Maintains its own operational, safety, and complaints policies

You will be subject to the policies of the clinic or hospital where care is delivered, in addition to these Terms.

Complaints relating to clinical care delivered at a clinic or hospital will normally be handled through that organisation’s complaints process, as outlined in the Practice Office Policy.


4. Appointments and Services

Appointments may be provided:

  • In person
  • By video or telephone consultation

Appointment details, including duration, location, clinician, and fees, will be confirmed at the time of booking.

Aspen Med reserves the right to determine the appropriateness of services offered, based on clinical and operational considerations.


5. Fees, Payments, and Insurance

  • Fees for services will be communicated in advance where possible.
  • Some services may require pre-payment or deposits.
  • Where private medical insurance is used, you remain responsible for any fees not covered by your insurer.

Aspen Med does not guarantee reimbursement by insurers.


6. Cancellations and Non-Attendance

Cancellations and non-attendance are governed by the Appointment Cancellation and Non-Attendance Policy, which forms part of these Terms.


7. Use of the Patient Portal

Use of the Aspen Med Patient Portal is subject to:

  • These Terms
  • The Privacy Policy
  • Any additional terms displayed within the portal

You are responsible for maintaining the confidentiality of your login details.


8. Data Protection and Confidentiality

Personal and medical data is handled in accordance with the Privacy Policy.

Clinical information is subject to the common law duty of confidentiality.


9. Limitation of Liability

Aspen Med is responsible for:

  • Its own administrative and coordination services
  • Acts or omissions of its employees acting within the scope of their duties

Aspen Med is not responsible for:

  • Acts or omissions of independent healthcare professionals acting in their professional capacity
  • Acts or omissions of clinics, hospitals, or third-party service providers

This does not affect your statutory rights or any liability that cannot lawfully be excluded.


10. Complaints

Complaints should be raised in accordance with the Practice Office Policy.

Where care is delivered at a clinic or hospital, complaints relating to clinical care will normally be handled under that organisation’s complaints process.


11. Changes to These Terms

Aspen Med may update these Terms from time to time. The most current version will be available via the Aspen Med website or Patient Portal.


12. Governing Law and Jurisdiction

These Terms are governed by the laws of England and Wales.
